Most AI receptionists take a message. SIMCOAI offers the times you are actually free, holds the one the caller picks and writes the booking into your diary — using the services, opening hours, appointment lengths and closures you set in the dashboard.

How it works

Four steps, on every call.

Everything below is recorded against the call so you can see exactly what was said and what came of it.

  1. AskThe caller says what they need and roughly when. SIMCOAI understands ordinary speech — “half ten on Thursday”, “a week on Tuesday”, “something later that day”.
  2. OfferIt reads back real times from your timetable, up to a fortnight ahead, skipping anything already taken, outside your hours or inside a closure you have set.
  3. HoldWhen the caller picks one it is held for the rest of the call, so giving an email address afterwards does not lose the slot they just agreed to.
  4. ConfirmThe caller confirms by a code sent to their email address, and the booking appears in your dashboard diary against their customer record.

Every part of the timetable is yours to set, and the AI can only offer what it describes.

Services and durations

Name each service you take bookings for and how long it runs, so the times offered actually fit the work.

Buffers between jobs

Add travel or turnaround time after an appointment and the next slot moves accordingly.

Opening hours per day

Set bookable hours for each weekday. These can differ from your general opening hours, and bookings follow the bookable ones.

Capacity per slot

If you can take three at once, say so. SIMCOAI counts what is already booked and stops at your limit.

Closures and holidays

Block out a day or a range with a reason. The AI says you are closed rather than offering a time it cannot honour.

Automatic or manual

Let a service confirm itself, or hold every request for someone on your team to approve first.

Getting it right

The details that stop a bad booking.

A booking made at the wrong time costs more than a missed call, so these are enforced everywhere a booking can be created.

No double-booking

Capacity is checked against what is already in the diary before a time is ever offered, including bookings your team entered by hand.

No times in the past

A slot that has already started is never offered, and is refused on every route into the system — the phone, the dashboard and the API.

Your timezone, and the clocks changing

Times are resolved in your timezone, so an appointment does not drift by an hour when the clocks go forward.
